Dear Potential Exhibitor/Vendor,

Thank you for your interest in participating in the 21st Annual of the Stater Bros. Route 66 Rendezvous® to be held in downtown San Bernardino on September 16-19, 2010. For your future reference, the dates for the Rendezvous are always the 3rd weekend in September beginning on Thursday through Sunday.  

The Route 66 Rendezvous® is one of the largest Route 66 automotive celebrations on the road. The Rendezvous is a 4-day 3-night festival of hot rods, muscle cars, customs, classic and vintage vehicles that park and cruise a 35-square block area of the downtown streets of San Bernardino.
 

VENDOR MAILING LIST:

As a vendor/exhibitor, you will have the opportunity to showcase your product to hundreds of thousands of spectators and car participants. With the past history of the Route 66 Rendezvous®, we anticipate the vendor areas to be a sell out. We have a first come, first serve policy. Vendor packets are mailed to new vendors in June.

Vendors who participated in the 2009 Route 66 Rendezvous are given first right of refusal to participate and then if space is available, you will be contacted in June of 2010 if your product or food type is needed.

You can understand that we do not want to flood any one area with the same type of food or merchandise and only have so many spaces on the downtown streets. There are five (5) locations in the downtown area for vendors, with food courts on each end of the street. The Rendezvous is different then other events in that the cars are the show and encompass most of the footage on the streets for parking and the cruise route.

By emailing your information, this does not mean that you are a vendor of the 2010 Route 66 Rendezvous. It means that you will be placed on the mailing list to receive information if there is an opening…

Food Vendor example: If a vendor selling Mexican food were to leave, we would contact the vendors on our mailing list selling Mexican food to see if they would like to participate and so on.

NOTE:

  • We do not allow raffles or car giveaways at this event.

  • Your booth must be staffed at all times during the event.  

  • No T-shirts are allowed to be sold on the Downtown Venue. The Route 66 Rendezvous has an exclusive to sell T-shirts.

  • No Rain Dates, No Refunds

  • Sponsor exclusive applies for carbonated beverages & water.

BOOTH PRICES (All prices below include permit fees)

  • All Areas: Covers 4 locations on the downtown streets.

  • Area-C: “Meadowbrook Park” covers a full square block of plush grass filled with vendors, kid activities, and a firefighter competition on Sunday.

 

FOOD BOOTH PRICE LIST (Those selling food or beverages)
All food booths will be inspected for compliance by the Department of Environmental Health Services and the S.B. City Fire Department - Fire Prevention Office.  All food vendors MUST provide a complete menu.  You MUST submit a photo of your trailer and/or booth with your application. All vendors preparing food on-site must provide an enclosed booth as pre-described by the Department of Environmental Health Services.

Vendors must stay within their assigned spaces and out of emergency lanes at all times.  All trailers must conform to assigned space, allow for trailer hitch to fit within designated space.  Placement of vendor booths is according to the needs of the event.  Booths shall not be moved at any time.  If vendor violates any of the rules, the vendor shall be shut down and all fees withheld.
 

  • Water hook-up must be requested and paid for on your application - onsite hook-up will not be allowed.

Included in booth price:

1.  A Canopy Top will be provided for those operations not requiring enclosed booths. (Vendor must provide tables, chairs, lights, etc.)

2.  City Business License, Environmental Health Permit, Fire Department Permit  (Vendor must complete all forms and enclose it with your application)

3.  Electricity Provided:  2000 watts/20 amps only.  Please try to be accurate on number of watts/amps needed. (Example - freezer, blender, coffee maker, etc.) Additional power may be purchased.

You must be specific on ALL merchandise sold.  Exclusivity: Clothing, water or beverages may not be sold without written authorization by the San Bernardino Convention & Visitors Bureau.  Merchandise not listed may not be sold and may be confiscated!  Please submit a photo of your booth layout or merchandise with your application.

  • Distribution of information is prohibited at the Route 66 Rendezvous® without booth space and vendor/exhibitor contract.

  • Vendors must stay within their assigned spaces and out of emergency lanes at all times. 

All trailers must conform to assigned space, allow for trailer hitches to fit within designated space. INSURANCE
All vendors must maintain current general liability insurance in an amount not less than $1,000,000.00, covering the vendor’s activities at the Route 66 Rendezvous® and naming separately as additionally insured parties:

The City of San Bernardino, and San Bernardino Convention & Visitors Bureau are named as additional insured, but only insofar as the operations under this contract are concerned.

Event: Route 66 Rendezvous    ●    Dates 9/14/10 - 9/19/10

Proof of the maintenance of such insurance will be provided to the Rendezvous by the cut-off date of July 26th or booth space will be forfeited. Insurance may be purchased through the Rendezvous. (Price quoted is not set by the Rendezvous).


SECURITY

Overnight security is provided.  As with any outdoor / non-gated event, we recommend that merchandise and/or small items which can be easily carried away be removed from your booth space each night.

Neither the Route 66 Rendezvous® nor the City of San Bernardino is responsible for theft or damage to property belonging to persons participating in the Rendezvous.  Nor does the Route 66 Rendezvous® or the City of San Bernardino assume any responsibility for items left unattended during the event.

Note: On Friday’s the downtown employees wander the vendor areas at lunchtime to eat and shop.

Included in the packet you will receive is an application, all required permits, a handbook with all pertinent information, and an event layout map with vendor locations marked in areas A, B, C, D, E and F. A 50% deposit is required when submitting your application; The cut-off date for vendor applications, permits, insurance, and final payment is Monday, July 26, 2010. There will be no new vendor registration at the event!
